Overview #
An Academy is empty without people. VarsityScape offers two ways to bring users into your ecosystem: a general Academy Invite (for open enrolment) or a specific Course Invite (for targeted cohort entry).
Option 1: The General Academy Invite #
This is the fastest way to grow your community. Users who join via this link become “Members” of your academy but are not yet enrolled in specific courses.
- Go to your main Academy Dashboard.
- Locate the “Invite Link” card (usually near the top right).
- Click Copy Link.
- Share this URL via email, social media, or WhatsApp. Anyone who clicks it can create a student account and join your school’s general lobby.
Option 2: Direct Email Invitation #
If you want to add specific individuals (like a new instructor or a student list):
- Navigate to Settings > Members.
- Click Invite Member.
- Enter their email address.
- Assign Role:
- Learner: Standard student access.
- Instructor: Can create courses and grade assignments.
- Admin: Full access to billing and settings.
- Click Send Invite.
Option 3: Inviting Directly to a Cohort #
To bypass the lobby and drop a student directly into a class:
- Go to the specific Course dashboard.
- Click the Students tab.
- Click Invite a new student.
- Enter their email to add them instantly to that specific cohort.
Troubleshooting & FAQ #
- My student says the invite link is broken.
Invite links generally do not expire, but if you have recently changed your Academy Unique Link in settings, the old invite links will stop working. Copy the new one from your dashboard. - The user status says “Pending.”
This means the invitation was sent, but the user hasn’t clicked the verification link in their email yet. You can click the three dots next to their name to Resend Invite.
